Overview

To serve as the first point of contact for internal and external callers and visitors. Responds to questions, forwards calls, greets and directs visitors, and takes messages as appropriate.

Responsibilities

  • Answers and directs telephone calls to appropriate department and staff.
  • Maintains sign-in log, distributes visitor badges, temporary badges, vendor badges, and directs to appropriate department and person.
  • Sends required emails to employees regarding use of a temporary badge.
  • Informs RAC of all lost badge incidents in a timely manner.
  • Follows compliance policy and procedure regarding badges.
  • Maintains employee log of all status changes of new hires, temporary employees, consultants, department moves, title changes and exits.
  • Assists walk-in members for Member Services.
  • Maintains a Reception Duties desktop procedure manual and updates as needed
  • Is the primary trainer for any temporary reception desk staff or new reception desk sta$25.00/ hourff at any Partnership location where training is required.
  • Handles all front desk deliveries, contacting the appropriate Partnership staff member for catering, floral or other deliveries.
  • Reviews Facilities Help Desk and handles any appropriate tasks or forwards to appropriate Facilities team member.
  • Ensure all visitors and meeting hosts are following safety and security protocol.
  • Reports all employees in violation of Magnetic Badge Access policy.
  • Accepts and signs for mail and most courier deliveries.
  • Performs general office clerical duties, such as typing, maintaining logs and files, photocopying, etc.
  • Assists other departments with general clerical support such as creating documents, coordinating meeting rooms, and maintaining supply inventory, among other activities. 

SECONDARY DUTIES AND RESPONSIBILITIES

  • May serve as back up to HR Benefits Coordinator, Recruitment Coordinator, Facilities Coordinator, and Training Coordinator. Will perform duties as identified in the respective desktop procedures, with system access as approved by the direct report.
  • Will serve as back up to Mailroom and other Facilities staff as needed.
  • Supports Facilities staff in assigned projects, as requested.
  • May assist with Petty cash
  • Other duties as assigned.

Qualifications

Education and Experience

High school diploma or equivalent. Minimum three (3) years of experience performing general office and receptionist duties.

 

Special Skills, Licenses and Certifications

Knowledge of any multi-line reception phone system. Working
knowledge of processing software applications such as Word, Excel,
PowerPoint, Publisher, and; typing speed of 40 wpm; knowledge of
business machine operations and alpha-numeric filing systems.
Bilingual skills in Spanish preferred. Good oral communication skills.
Excellent organizational skills with ability to coordinate and maintain
multiple tasks simultaneously. Ability to use good judgment, handle
telephone calls and visitors in a courteous and professional manner.
Bilingual skills in Spanish, Russian or Tagalog may be preferred.

Work Environment And Physical Demands

Works in a standard desk workstation. More than 70% of work time may be spent sitting or standing in front of a computer monitor. When required, ability to move, carry, or lift objects of varying size, weighing up to 20 lbs.
