Overview

This position will provide support to the Finance/Facilities department at Reception desks, in the
Mailroom and with various Facilities and/or Finance related projects. This position may interact
with all internal Partnership staff, visitors and guests, as well as vendors, in the course of project
related tasks.

Responsibilities

▪ Provides coverage at front desk reception for Partnership offices, answering and directing
calls, greeting visitors and guests, providing access badges as appropriate.
▪ Maintains and updates visitor and badge logs daily as needed when covering front
reception.
▪ Provides immediate initial contact with guests or vendors who enter Partnership front
lobby areas.
▪ Educates employees, guests or vendors on Partnership security protocols as needed,
specifically if “piggybacking” is noticed.
▪ Provides first line support to any emergency personnel who enter the building as needed
in the way of direction or information.
▪ Uses sign in/out sheet for every guest/visitor, as well as providing visitor badges as
needed.
▪ Knows all floor layouts of the Partnership buildings in order to provide direction and
support to new hires or staff unfamiliar with layouts or provide emergency exit routes to
anyone needing assistance in an emergency.
▪ Provides back up support to the Facilities team with help desk tickets as appropriate.
▪ Provides back up support to Finance Assistant (s), or Coordinators as needed on special
projects.
▪ Provides support to the mailroom as needed including but not limited to receiving of
goods and supplies, mailing out of equipment/supplies, collection/distribution of daily
mail.
▪ Provides support to all print projects that come to mailroom printers.
▪ Provides support in the maintenance of office/copy room supplies, breakroom and
janitorial supplies for both the organization and the Finance/Facilities department.
▪ Maintains confidentiality and privacy of all employee and payroll information.
▪ Adheres to all Partnership policies and procedures.

 

Secondary Duties and Responsibilities
▪ Assists with Partnership events when needed.
▪ Assists with mailroom duties, preparing letters for mailing, checks, EOP’s as needed.
▪ Assists with the PMEDS DME program as needed daily. Processes returns for both this
program or other general office supplies.
▪ Works with the Purchasing Specialist on orders for department team members or for
special projects.
▪ Works with PERT team on the set up of trainings for Security related policies.
▪ Works with Training and Development team on the review of Facilities safety and
security policies.
▪ Sets up meetings for Facilities department leaders as needed.
▪ Other duties as assigned.

Qualifications

Education and Experience

High school diploma or equivalent; minimum two (2) years general
clerical/administrative experience, preferably in a healthcare
environment; or equivalent combination of education and experience.

Special Skills, Licenses and Certifications

Working knowledge of Microsoft Office Suite, including Word and
Excel and ability to use general office business machines and perform
routine maintenance as needed. Typing speed 45 wpm. Knowledge of
Publisher and photo editing software preferred. Ability to use hand
tools a plus. Valid California driver’s license and proof of current
automobile insurance compliant with Partnership policy are required to
operate a vehicle and travel for company business. Bilingual skills in
Spanish, Russian or Tagalog may be preferred. Eptura Service Desk
software knowledge a plus with ability to work within the software
workflows as needed.

Performance Based Competencies

Excellent written and oral communication skills. Good organization
skills with ability to work on multiple projects and assignments
simultaneously. Ability to prioritize work and complete tasks within
established timeframes. Ability to handle sensitive issues with
confidentiality, tact and diplomacy. Ability to work with minimal
supervision. Ability to work with a multitude of personalities and staff
members.

Work Environment And Physical Demands

More than 50% of work time may be spent walking through buildings,
up and down stairs, bending and/or climbing a ladder. Remaining 50%
would be spent seated at Reception work desk. When required, ability
to move, carry, or lift objects of varying size, weighing up to 50 lbs.
