Overview

The Floater will provide support to the Finance/Facilities department at Reception desks, in the
Mailroom and with various Facilities and/or Finance related projects. This position may interact
with all internal PHC staff, visitors and guests, as well as vendors, in the course of project related
tasks.

Responsibilities

  • Provide coverage at front desk reception for PHC offices, answering and directing calls,
    greeting visitors and guests, providing access badges as appropriate.
  • Providing initial contact with employees, guests, vendors who enter PHC front lobby
    areas.
  • Educating any employee, guest or vendor on PHC security protocols as needed.
  • Providing first line support to any emergency personnel who enter the building as needed
    in the way of direction or information.
  • Using sign in/out sheet for every guest/visitor, as well as providing and logging all
    temporary access badges as needed.
  • Knowing all floor layouts of the PHC buildings in order to provide direction and support
    to new hires or staff unfamiliar with layouts.
  • Provide back up support to the Facilities team with help desk tickets as appropriate
  • Provide back up support to Finance Assistant (s), or Coordinators as needed on special
    one-time projects.
  • Provide support to the mailroom as needed including but not limited to receiving of
    goods and supplies, mailing out of equipment/supplies, collection/distribution of daily
    mail.
  • Provide support in the maintenance of office/copy room supplies, breakroom and
    janitorial supplies.
  • Maintains confidentiality and privacy of all employee and payroll information.
  • Adheres to all PHC policies and procedures.

Secondary Duties and Responsibilities

  • Assists with PHC events when needed.
  • Other duties as assigned.

Qualifications

Education and Experience

High school diploma or equivalent; minimum two (2) years general
clerical/administrative experience, preferably in a healthcare
environment; or equivalent combination of education and experience.

Special Skills, Licenses and Certifications

Working knowledge of Microsoft Office Suite, including Word and
Excel and ability to use general office business machines and perform
routine maintenance as needed. Typing speed 45 wpm. Prefer
knowledge of Publisher and photo editing software. Ability to use hand
tools a plus. Valid California driver’s license and proof of current
automobile insurance compliant with PHC policy are required to
operate a vehicle and travel for company business. Bi-lingual in
Spanish or Tagalog may be preferred. iOffice Service Desk software
knowledge a plus with ability to work within the software workflows
as needed.

Excellent written and oral communication skills. Good organization
skills with ability to work on multiple projects and assignments
simultaneously. Ability to prioritize work and complete tasks within
established timeframes. Ability to handle sensitive issues with
confidentiality, tact and diplomacy. Ability to work with minimal
supervision. Ability to work with a multitude of personalities and staff
members.

Work Environment And Physical Demands

More than 50% of work time may be spent walking through buildings,
up and down stairs, bending and/or climbing a ladder. Remaining 50%
would be spent seated at Reception work desk. When required, ability
to move, carry, or lift objects of varying size, weighing up to 50 lbs.
